Cancellation & Refund Policy.
This policy sets out the general principles applicable to cancellations, subscription renewals and refund requests for eligible DeltaFin Innovations products and services.
Effective date: 13 September 2026
1. Scope and precedence
This Cancellation & Refund Policy applies to payments made directly to DeltaFin Innovations for software subscriptions, licences, implementation services, support, consulting, custom development or other paid offerings, unless different terms are stated in the applicable proposal, quotation, order form, subscription plan, statement of work or signed agreement.
Where specific written commercial terms have been agreed for a transaction or engagement, those terms will take precedence over this general policy to the extent permitted by applicable law.
2. Subscription services
Where a DeltaFin product is supplied on a recurring subscription basis, the applicable billing frequency, price, renewal date and included services will be disclosed in the relevant plan or order documentation. A customer may request cancellation of future renewals in accordance with the applicable subscription terms.
Unless otherwise stated in the applicable plan, cancellation stops future renewal billing and does not automatically terminate access during a billing period that has already been paid for.
3. Automatic renewals and mandates
If a customer enables automatic renewal through an authorised payment mandate or recurring-payment instruction, renewal charges may be initiated in accordance with the mandate and the applicable billing schedule. Customers remain responsible for cancelling the subscription or mandate within the required period if they do not wish the next renewal to be processed.
Cancellation of a payment mandate and cancellation of the underlying subscription may be separate actions depending on the payment method and product. Customers should ensure that both are completed where applicable.
4. Subscription refunds
Subscription fees are generally non-refundable once the relevant paid service period has commenced, except where a refund is required by applicable law, a verified duplicate or erroneous charge has occurred, the service was not provided due to a failure attributable to DeltaFin, or a specific written money-back or trial commitment applies.
A cancellation request submitted after a renewal has been successfully processed does not by itself create an entitlement to a refund for the renewed period.
5. Custom development, implementation and professional services
Fees paid for discovery, analysis, design, development, configuration, implementation, deployment, integration, data migration, consulting, training or other professional services are linked to committed resources, completed work and agreed milestones. Amounts attributable to work already performed, accepted milestones, allocated resources, licences, infrastructure or non-recoverable third-party costs are ordinarily non-refundable.
Any refund or credit relating to an unperformed portion of a professional-services engagement will be determined by the applicable proposal or agreement and the status of the work at the time of cancellation.
6. One-time licences, setup and activation fees
One-time licence, onboarding, activation, configuration, setup or implementation charges are generally non-refundable once the relevant licence has been provisioned or the associated work has commenced, unless otherwise stated in writing or required by applicable law.
7. Duplicate, incorrect or unauthorised charges
If you believe a payment was duplicated, processed for an incorrect amount or otherwise requires investigation, please notify us promptly with the relevant transaction or invoice reference. Verified billing errors will be corrected and, where appropriate, refunded through the original payment method.
Suspected unauthorised card, bank or UPI transactions should also be reported immediately to the relevant bank or payment provider in accordance with their dispute procedures.
8. Failed and pending transactions
Where a transaction appears to have failed but funds have been debited, the amount may be automatically reversed by the bank or payment provider. If the reversal is not reflected within the normal banking timeline, please provide the transaction reference so that we can assist with verification. DeltaFin cannot control bank, card-network or payment-provider settlement timelines.
9. Refund method and processing time
Approved refunds will normally be initiated to the original payment method. The time required for the amount to appear in the customer's account depends on the bank, card network, payment provider and settlement cycle. Any processing timeline communicated by DeltaFin is therefore an estimate unless otherwise required by law.
10. Taxes, gateway fees and third-party charges
The refund treatment of taxes, payment-provider charges, foreign-exchange costs, third-party licences or other external charges depends on whether those amounts are recoverable and on applicable law. Any non-recoverable third-party cost may be excluded from a discretionary refund where legally permitted and where disclosed in the applicable commercial terms.
11. How to submit a request
Cancellation or refund requests should be emailed to info@deltafininnovations.com and should include the customer or business name, product or service, invoice or transaction reference, payment date, amount and a brief explanation of the request. We may ask for additional information reasonably required to verify the transaction and assess the request.
12. Review of requests
Each eligible request is reviewed against this policy, the applicable product or service terms, the status of delivery or subscription usage, payment records and applicable legal requirements. Approval of a refund in one circumstance does not create an obligation to approve refunds in unrelated circumstances.
13. Statutory rights
Nothing in this policy is intended to exclude, restrict or modify any right or remedy that cannot lawfully be excluded under applicable consumer, payment or other law.
